Desktop stapler buying guide: match the tool to the job

Updated: October 2026

You are replacing a desk stapler, and the first row of listings presents a confusing mix of sheet counts, strip lengths and boxes that may or may not include staples. A useful desktop stapler buying guide starts with the work, not the colour: decide whether you are joining paper, how thick the normal bundle is and which refill the machine actually names. Our [main stapler comparison](/hub/staplers-and-nail-guns/stapler) sets out the listing facts for twelve amazon.co.uk products. This guide explains the trade-offs behind them, so a cheap tool does not become an expensive mistake once you need different staples or a higher capacity.

Start with paper, fabric or cable

A desktop stapler clinches a metal staple through paper against an anvil. That is the right family for letters, schoolwork and office packs, and ten products in this comparison belong to it. This distinction matters because similar numbers do not mean compatible consumables. The ValueMax takes type 140 staples, another type 28 fastener and type 8 brads, whereas the Rapid R28 takes Rapid No. 28 cable staples. Neither accepts 24/6 office staples. If your job involves upholstery or low-voltage cable, leave the desktop shortlist and read stapler or staple gun. If it involves paper, stay with a tool that states a sheet capacity and check that capacity against your normal bundle rather than the thickest pack you might staple once a year.

Match sheet count and strip length

Sheet capacity is a model claim, not a promise that every stapler using the same refill will handle the same stack. In this set, the Amazon Basics DHST002 claims ten sheets. The two Rapesco Sting Rays and G4GADGET claim 20, while the deli models, Amazon Basics DLSP-01 and Rapesco Marlin sit around 25. The Marlin is unusually precise: 25 sheets of 80 gsm paper. Marsrock reaches its 40–50-sheet claim only with the supplied heavy-duty staples; its standard quarter-inch staples are assigned to 20–25 sheets. Strip length describes magazine format rather than punching strength. A half-strip tool such as the Sting Ray is shorter and easier to place on a small desk, but it needs refilling sooner. A full-strip Marlin or Amazon Basics 10-sheet model carries a longer row, which suits a shared stationery point. General retail guides associate half-strip and mini staplers with smaller everyday bundles and full-strip tools with longer magazines, but those ranges do not override the figure printed for a particular model.

Check the staple code before buying refills

The code tells you more than a phrase such as “standard staples”. Both 24/6 and 26/6 have a 6 mm leg, but 24/6 uses thicker wire according to the AOS size guide. That does not make every 24/6 stapler a higher-capacity machine, and the two codes should be treated as interchangeable only when the tool lists both. The Rapesco Marlin explicitly accepts 24/6 and 26/6, with 2,000 of the latter in this Amazon pack. Both Sting Ray listings and the ASTARON mini name 24/6. When a listing is silent, do not infer compatibility from price, sheet count or appearance. Check the marking on the stapler, packaging or instructions before ordering a bulk box. The detailed differences are covered in 24/6 or 26/6 staples.

Confirm what comes in the box

An inexpensive stapler with a clear starter pack is easier to use immediately than one whose listing leaves the consumables uncertain. The Sting Rays each include 1,000 staples of 24/6, the Marlin includes 2,000 of 26/6 and ASTARON includes 400 of 24/6. The blue deli adds 1,000 staples and a separate remover, although it does not name their code.

Use this short buying checklist

Work through these decisions in order. Choose a desktop stapler only if the main material is paper; use the separate gun comparison for fabric or cable. Count a normal bundle and choose capacity with some headroom instead of operating at the printed maximum every time. Check the exact staple code on the listing, tool or instructions before buying refills. Decide whether a compact half strip or a longer full strip better suits your space and refill frequency. Confirm that staples, a remover and pin-or-tack modes are actually stated rather than inferred. Compare the price only after those requirements match. For a home desk, the low-priced 25-sheet Amazon Basics may cover the job, but its refill code and supplied staples are unclear. For a shared office, the Marlin costs more and answers those questions directly. If you want named fits rather than a process, see our best desktop stapler picks.

Common questions

Is a 25-sheet claim the same on every stapler?
No. Capacity belongs to the model and may depend on paper weight and the specified staple. The Marlin states 25 sheets of 80 gsm, while several other listings simply say 25 sheets. Treat the figure as a ceiling and leave headroom for routine work.
What is a half-strip stapler?
A half-strip stapler has a shorter magazine than a full-strip model. It usually occupies less desk space and holds fewer staples, so it needs more frequent refilling. Strip length does not by itself determine the sheet capacity.
Does a heavier stapler handle more paper?
Not necessarily. Weight can make a tool steadier, but the feed mechanism, staple and stated capacity determine the intended stack. The 350 g G4GADGET claims 20 sheets, while the 248 g Marlin claims 25 sheets of 80 gsm.
Do I need staples in the box?
No, but a named starter pack removes uncertainty and lets you use the tool immediately. If the listing is unclear, check the machine's code first and budget for the correct refill rather than buying a generic box.
What does throat depth change?
Throat depth is the distance paper can travel from its edge towards the stapling point. A deeper throat helps place fasteners farther into a sheet or booklet; it does not increase the number of sheets the stapler can penetrate.
